Tribe 101: A Guide for New Admins

A foundational guide for new admins covering dashboard navigation, prospect tracking, conversation monitoring, and website traffic drivers.

This guide provides an overview of the fundamentals of using Tribe, resources to deepen your understanding, and directions on where to go for additional support.

So, let's get started!

 

Your Admin Account

If you’re reading this, you are likely already set up as an admin! If not, a colleague can invite you via the Invite Users button, or you can contact your Tribe Account Manager. Once registered, you can access your Organization Dashboard here.


🏗 Exploring Your Dashboard

Your Admin Dashboard consists of six key sections, each designed for a specific purpose:

 

1. Ambassador Management

This is your control centre with regards to who represents your institution. Here, you can invite, hide/unhide, edit, or delete ambassadors.

2. Prospect Overview

The Prospects tab is where you can keep track of all prospects who have signed up on your platform, whether through website integrations or a direct invitation. This tab displays all available information on a prospect, including:

  • First & Last Name
  • Email Address
  • Marketing Consent
  • Last Registered Log-in Date
  • Sign-up Date
  • Account Status (Invited, Registered, Active, Blocked)
 

Actions: By clicking on the three vertical dots next to a specific user, you are able to:

  • Start a Chat: This redirects you to your personal inbox to message the prospect.
  • Block a Prospect: This denies them full access to their account in the future.

CRM Integration: Currently, we provide a direct integration with HubSpot to allow data to flow automatically into your CRM. Consult our Integration Manual for setup steps. For other platforms, contact your Account Manager.

 

3. Conversation Dashboard

The Conversation Dashboard tab allows you to monitor and review all conversations taking place on the platform. It combines all conversations across all your ambassadors, ordered from most recent to oldest.

Unread Indication:

The red dot 🔴 at the top right corner of a conversation indicates that your ambassador has not yet read the new messages in that conversation. By clicking on the name of the ambassador or prospect in the conversation, you are able to reach out to them yourself. This can be useful if you want to give your ambassadors a quick nudge to respond or feel you want to provide the prospect with relevant information.

Conversation Status:

To keep the inboxes clean and clear, we have added an archive function. The Conversation Dashboard and your Personal Inbox always open on the ‘active’ conversations tab, displaying conversations currently in progress. Once a conversation has ended, ambassadors can ‘archive’ it to remove it from their active inbox. All archived conversations are listed under the ‘Archived’ tab for reference. If a new message is sent in an archived conversation, it will automatically jump back to the ‘Active’ tab.

 

4. Platform Analytics

Keep track of engagement across the entire platform, including:

  • New Prospects: The number of prospects that have signed up.
  • Total Ambassadors: The total number of ambassadors you currently have active.
  • Total Conversations: The total number of conversations that have occurred on the platform.
  • Total Messages: The total number of individual messages that have been sent on the platform.
 

As well as being able to follow up per ambassador: You can view the individual engagement for each ambassador to see how many conversations and messages they have personally handled.

 

5. My Inbox

The My Inbox tab is your personal inbox as an admin. From here, you can respond to and send messages to prospects, ambassadors, and other admins. Your inbox works exactly like a standard ambassador inbox, meaning:

 

You will receive notifications: If you receive new messages to your personal profile, you will receive a notification in two ways:

  • App: You will receive a push notification in the mobile app if you have it downloaded and have accepted push notifications. This occurs immediately after receiving a message, with a reminder if the message remains unread after 24 hours.
  • Email: If you are not logged in to the mobile app, you will receive an email notification within 10 minutes of a message being sent, as well as a reminder if the message remains unread after 24 hours.
 

Archiving: In your personal inbox, you can archive finished conversations to keep your inbox clean. To archive a conversation, go into the relevant chat and click the ‘Archive’ button at the top right corner. If you want to unarchive a conversation, simply go to the ‘Archived’ tab and click ‘Unarchive’. If you receive a new message in an archived conversation, it will automatically move back to the ‘Active’ tab in your inbox.

 

6. Profile & Settings

The Profile & Settings tab allows you to manage your public ambassador profile and account. It is built up of three sections:

  • Account Information: Allowing you to update your first and last name.
  • Profile Information: Allowing you to fill in and update your public profile that is visible to whomever you choose to chat with (mandatory), as well as to all prospects in your organization's main ambassador page (optional).
  • Account, Statements, and Policies: Which lists all legal documents.
 

Updating Your Account Information: To update your account and profile information, simply make your desired edits to the selection or text fields in the Account Information and Profile Information sections. Finish by clicking on the ‘Save Changes’ button at the bottom of the page to make your edits visible (if you forget to click on the ‘save changes’ button, your edits will be lost).

Account Visibility: You can choose to make your admin profile visible on your organization's ambassador page. This means that you will also act as an ambassador for your organization, with prospective students being able to reach out to you with questions.

 

7. Traffic Drivers

The Traffic Drivers tab allows you to easily integrate our platform throughout your organization's website. We support two types of implementations:

  • Main Tribe Platform: This is the main Iframe that you can place on a central webpage on your website. It displays all your organization's ambassadors and allows prospects to start a chat directly.
  • Toasts: These are small pop-up cards you can place across your website's pages to redirect visitors to the Main Website Integration.
