What prospects, ambassadors and admins can each see and do on your platform.
Every account on Tribe has one of three roles. The role decides which side of the platform the person sees and who they can talk to.
Prospect | Ambassador | Admin | |
Who | A prospective student (or parent) | A current student representing your institution | Staff running the platform |
How they join | Sign up through your website's Iframe, or an invitation | Invitation from an admin | Invitation from an admin |
What they see | The Iframe: ambassador profiles and their own chats | Their profile and inbox | The full dashboard |
Who they can message | Ambassadors, and any admin who joins their chat | Prospects who message them, and admins | Anyone |
Public profile in the Iframe | No | Yes, unless hidden | Optional — hidden by choice |
🎓 Prospects
Prospects normally register themselves: they open your Iframe, choose an ambassador and sign up on the spot. During sign-up they answer your onboarding questions (for example expected start date and area of interest) and choose whether to receive marketing. Those answers appear on the Prospects page and flow to your CRM if one is connected.
You can also invite a prospect directly, or share the general invite link. Prospects can't block other users, and they can delete their own account from their profile (Delete my account), which removes their conversations too. See Prospect Sign-up and Onboarding Questions.
🙋 Ambassadors
Ambassadors have a public profile and an inbox. They can't see other ambassadors' conversations or the dashboard. A new ambassador's profile starts hidden until an admin makes it visible. See Managing Ambassadors.
Ambassador sub-roles
Some platforms split ambassadors into sub-roles — for example Student, Staff and Alumni — so prospects can tell who they're talking to. The sub-role is chosen when the ambassador is invited and can't be changed afterwards. Sub-roles are set up by Tribe; contact your Account Manager to add them.
🛠 Admins
Admins see everything: every ambassador, every prospect, every conversation, analytics, integrations and embedding. All admins on a platform have the same permissions. An admin can also have a public profile and take chats like an ambassador, or hide it — see Your Admin Profile.
Admins can read any prospect–ambassador conversation and post into it; their role shows beside their name when they do. See Managing Conversations.
One email, one role
Each email address holds one Tribe account with one role. A staff member who needs both an admin account and a separate ambassador profile needs two email addresses.
